Document Imaging: All Word documents, Outlook files, PDFs, Powerpoint files, and most graphic files are imaged during initial processing. Certain files, such as Excel files are not imaged unless specifically requested. Sift generally recommends that Excel files and certain other files be dealt with on a case-by-case basis if redactions or production of such documents becomes necessary as imaging Excel files can require individual attention and technical expertise to create a usable image.
Messner Coding Form template includes tags for responsiveness, privilege, and redactions as well as fields for paralegal and attorney notes. Issue specific tags or other custom tags and fields can be added upon request.
Deduplication identifies perfectly identical electronics documents and removes them from your review database based on the MD5 Hash. However, some documents may contain the same text but a difference in some other variable, which makes the MD5 Hash different. For instance, the same email in the inboxes of Person A and Person B would not be identical via the MD5 Hash. By default, Sift performs deduplication on all documents processed into our review database.
Email Threading identifies the different emails associated with an email thread or chain and allows for identifying previous emails in a chain and grouping them together to have a full picture in one place of the conversation. Near deduplication identifies similar documents – scoring them on how nearly identical they are based upon their text. For instance, two emails with identical text but residing in different custodians’ inboxes, while not removed by deduplication, would be identified during near deduplication. This score can then be used to group documents together that are textually similar during review. Please contact us if you need help determining if this would help during your case.
Original Data files will be deleted after 30 days. Sift charges $1/GB for all original data files stored more than 30 days from the ingestion date. Unless specifically requested otherwise, all original data files will be deleted 30 days after ingestion is complete.
